Send a bid confirmation

Build a confirmation template that asks one question only you can answer and reuses the rest from the case, run it to generate the PDF, then compose a Gmail draft you review and send yourself.

The invitation is filed and its values live on the case. You produce a response that confirms your bid amount, generate the PDF, and place it in the client's inbox.

Build the confirmation template

A confirmation needs two kinds of values. You reuse facts that already exist on the same case, like an identifier or an address. The bid amount is a number you decide. The Form field input asks you to type this value once per run.

The answer lives on the Data tab. A Static input uses one fixed number on every run. An Extracted input sends the AI reading through the document. A Form field stops and asks you.

Building templates works on the Free plan. The Free plan permits 3 templates.

1Open Templates and click New template
2Name the template HPD Invitation to Bid and click Add to attach a Blank page
3Open Template details and assign an Output category so send rules can target the file
4Add a Number field, set its Value source to Question, and name it BidAmount
5Add fields for E-Number and Owner, set their source to From case, and drag their boxes
6Review the fields and click Save

Run it and compose the draft

Running templates against cases and composing drafts require the Pro plan. Open the case to run your new template. The Autofill rail shows every workspace template ranked by category. Because your template has a question, the run prompt shows the field for you to fill.

It also shows a Special AI instructions box applied to the next run only. In the template editor, the same override lives in the Run button's caret menu under AI instructions for this run. You leave this blank to use the default template logic. You must answer a required question before the run starts.

1Open the case, open the invitation file, and pick HPD Invitation to Bid in the Autofill rail
2Type your figure into the BidAmount question prompt and click Run Autofill
3Find the generated PDF as a new row in the flat Documents list
4Open the case actions menu and click Compose share to open the draft editor
5Pick the Invitation to Bid configuration in the Saved Send Template list
6Verify the PDF is attached and click Open Gmail Draft to review and send

When you run a template, the finished PDF lands in Documents. The case stores every file as a peer row in one flat list. The generated file shows a subline with the date and template name.

The Documents console also has its own run path. You expand a file row to its launcher cards and click Generate. The run form there uses an Add AI instructions disclosure and an Answer with chat button.

Document Blueprint builds the email and creates a real draft in your own Gmail. The app opens the pre-filled draft in a new tab. You click Send yourself from Gmail. The sender is always the person who is signed in.

Saved send templates offer tokenized subjects and per-category source rules. The default workspace send template is pre-selected. You can click Save as Template to save a new configuration. You switch attachments to Link mode to avoid the 25MB attachment cap.

One case carries both directions of the conversation.
