Notifications
The app communicates through three channels: Gmail drafts you compose and send, automated emails for invites and workspace activity, and in-app bell notifications. You control what reaches your team.
Your teammates and clients need to know when documents are ready. You use different channels to send custom messages, distribute portal links, and log workspace activity.
The three communication channels

Composing a Gmail draft
The app never emails clients on your behalf. Clicking Compose share on a case or a document row prepares a message for you. For multiple cases, you use Compose Draft in the batch action bar, or Draft on mobile.
The app creates a draft in your own mailbox. It pre-fills the To, Cc, Subject / Title, and Body. The primary button is Open Gmail Draft. This opens Gmail's compose view in a new tab.
You review the draft and click Send from inside Gmail. If your browser blocks pop-ups, a toast tells you to look in your Drafts folder. A success toast confirms the draft opened in Gmail.
This flow requires a Pro plan. You connect your account using the Gmail toggle in Settings under Account. If you need to connect, the button reads Connect your Gmail to compose. You also need the Compose Emails capability.
Owners and workspace admins have this capability by default. If a teammate lacks it, the button says Ask your workspace admin to enable Compose Emails for your account. Workspace admins grant this in the Team view under Configure Access.
Gmail limits apply to your drafts. You can include up to 50 recipients across To and Cc. You can add up to 20 attachments totaling around 22MB.
To share one file without Gmail, use the Share button in the review modal. This hands the file URL to your device's share sheet. If your browser lacks support, the app copies the link to your clipboard.
Automated emails
The app sends emails directly for administrative actions. You cannot edit the subject or body of these messages.
Inviting a teammate from the Team view sends an email with a one-time link. Adding someone via Add teammate or Add client in the Case actions menu sends a case link. The client invite lists the Forms to fill (optional) you select at that moment.
Exposing forms later via Manage forms does not send another email. Clients sign in to the portal using the email address you added. If a client misses an invite, ask them to check their spam folder or paste the /portal/cases/{ownerUid}/{caseId} URL directly.
Billing events trigger automated emails. The Welcome and Receipt emails go to the email address on your Stripe checkout session. The Cancellation email goes to your Document Blueprint account email.
These are best-effort deliveries with no resend button. The Forgot password? link on the login page also sends an automated reset email.
Bell notifications
Workspace activity triggers an in-app notification. You click Open notifications to view the bell panel.
These notifications go to the workspace owner and to every active teammate on the Team view who can work in the workspace the activity happened in. A teammate limited to other workspaces receives neither the notification nor its email copy. A teammate limited to assigned cases receives a notification about a case only when they are assigned to it. When one notification covers several cases, such as a bulk update, they receive it only if they are assigned to every one of those cases. When a case is deleted, the notice reaches the teammates who were assigned to it. Notifications that name no case reach them like any other teammate in the workspace. An automation's Notify step follows the same rules. The same rules decide who gets the email copy. Clients never receive bell notifications.
The bell badge shows your unread count up to 99+, counting every unread notification you have, not only the ones on screen. The panel lists your newest 15 notifications and loads older ones as you scroll to the end of the list. Threads group together per case and display earlier updates. A bulk update of several cases appears as one row and marks every case it touched. Unseen activity places a red dot next to a case name with an Unseen updates tooltip. Opening the case clears the dot.
Clicking a notification switches to the correct workspace. The app opens the case, scrolls your activity history to the event, and pulses a highlight. If the case was deleted, a toast explains that the case is gone.
You clear an individual thread using the Mark as read check button. You clear the entire panel using Mark all read. The empty state reads You’re all caught up. Managing read states requires a Pro plan.
Email copies of bell events
The app emails a copy of every bell notification to each recipient. The default setting is on. The email subject matches the notification title. The body includes an Open in Document Blueprint button and a link to your settings.
The author of an action receives an email copy by default. The only exception is a generic case update. You manage these preferences in Settings under Notifications.
Email copies are rate limited so a burst of activity does not flood your inbox: you receive at most one email per category every five minutes, and a bulk update of many cases produces one notification and one email rather than one per case. The bell keeps every event regardless.
The master Email notifications toggle controls all activity emails. Disabling it disables the categories below it. Your choices save automatically.
You can toggle specific event categories under What to include:
- People and access: The app emails you about teammate or client additions and removals.
- Case activity: The app emails you about case creation, edits, deletion, notes, file uploads, re-extraction, and Drive imports.
- Documents and requests: The app emails you about document generation, batch generation, and portal form submissions.
You can mute specific workspaces under Workspaces. You control marketing emails separately using the Email me product updates toggle. Invitations, security notices, and billing receipts ignore these preferences and always send.
