Per-case collaborators
Everyone on a case appears as a row of avatars at the top of the case. Click someone to edit what they can see, manage their forms, or remove them. Each person keeps a workspace baseline, and a case can narrow or widen it.
People join a case in two roles. A teammate collaborates from the dashboard. A client interacts from the client portal. You manage both from the same list on the case.
Teammates and clients
Only an owner or a workspace admin can manage people on a case. Everyone else views the roster without management controls. This feature requires a Pro or Scale plan.
Teammates sign in at /. A teammate must already be an active member of your team: invite them from the Team view first, and they accept the one-time link. Adding a current teammate to a case grants them access to the case's workspace, the Map, and the Calendar. If the email is not on your team yet, the server rejects the addition and tells you to invite them.
Clients wear a dashed amber outline. They sign in at /portal. Adding a client grants them access to this one case only. The same email address can be a teammate in your workspace and a client in another organization.
Every person has a baseline access set from the Team view. Teammates default to seeing everything. Clients default to seeing nothing until you grant access. Everyone inherits a single client baseline in the portal.
Hovering over any avatar reveals the person's name and role. When a case holds six or more people, the last avatar becomes a badge showing how many remain hidden. Click People on this case in the Case actions menu to view the full roster. Everyone stays reachable no matter how many people join.
Adding a collaborator
An empty case shows a dashed person-plus button. On an active case, open Case actions and choose Add teammate or Add client. If you add someone already present, the form rejects the addition.
The person appears as a new avatar immediately. The app posts a workspace notification. The app sends a real email on your behalf instead of composing a draft. The subject names the case identifier. The body identifies the role as a teammate or a client and includes a View Case button. For clients, the email lists any selected forms.
The timeline records the addition. A teammate logs as being assigned to the case. A client logs as being given client access to the case.
Unchecking Expose files hides every file from a client. You cannot change this toggle later in the visibility editor. A typical assignment takes one click. Adjust checkboxes only for exceptions.
Controlling what they see
The same person can join multiple cases with an independent scope on each. Click any avatar to open the person popover. The popover displays their name, email, and role. Click Edit visibility. This option appears only when the case has categorized files or the workspace has toggleable fields. The menu label flips to Close visibility editor.
The editor separates access into Categories and Fields. The categories match the files currently on the case. The fields match every toggleable field across your templates. A teammate opens with every box checked. A client opens with nothing checked.
You toggle items individually or use the All · None buttons. Click Save to apply your changes. You can also click Cancel. Changes take effect on their next page load. Changing visibility writes no activity entry.
Visibility controls four areas. It dictates which case files appear. It filters their activity timeline. It controls the category chips shown on dashboard rows. It determines what the AI assistant reads.
If you uncheck all categories, the editor displays an inline warning. The person sees no files and you should consider removing them instead.
Managing client forms
Click a client avatar and choose Manage forms. This option appears only when your workspace contains a template with form questions. Toggling a checkbox saves immediately and updates the portal. The forms appear under Forms to fill. The menu label flips to Hide forms. The app sends no extra email when you change forms.
Removing a collaborator
Click an avatar and choose Remove from case. The app revokes access immediately and records an activity entry. The person's portal view stops loading on their next request. There is no soft-delete. The app also posts an in-app notification.
